Program Overview – Housing Operations East, Housing Services Unit
The Housing Services Coordinator is accountable to the Manager, Housing Operations & Community Development and plays a key role in the day‑to‑day management of WoodGreen’s housing sites. The position is responsible for overseeing the physical, administrative, and operational components of assigned properties, ensuring safe, well‑maintained, and efficiently operated housing environments that support tenant stability and well‑being.
Working within a subsidized housing setting, the Housing Services Coordinator carries out a broad range of property management and administrative responsibilities. In addition, the role actively supports tenant engagement by facilitating resident involvement in their housing community. This work aligns with WoodGreen’s enhanced tenancy management and community development objectives, fostering inclusive, respectful, and collaborative housing communities.
The position operates within a tenant‑directed management model that reflects the organization’s community development approach. The Housing Services Coordinator works closely with tenant groups across multiple housing sites, as well as on portfolio‑wide and community‑based initiatives. The role is responsible for delivering day‑to‑day operations in accordance with established property management practices while supporting broader community development goals within the housing program.
What You Will Do
Housing Administration & Tenant Relations Responsibilities
- Administer Rent‑Geared‑to‑Income (RGI) housing in compliance with the Housing Services Act, including annual income reviews, ongoing calculations, and required tenant notifications.
- Manage tenant intake and onboarding, including background checks, lease generation, move‑ins, and orientation to housing policies, rights, and responsibilities.
- Oversee rent collection and arrears management, establish repayment plans, and prepare or follow up on Landlord and Tenant Board (LTB) notices as required.
- Use a case management and eviction‑prevention approach to support tenants in maintaining housing stability, addressing barriers through referrals, case conferencing, and coordinated supports.
- Provide tenants with clear, accessible information regarding their rights and responsibilities under the Residential Tenancies Act, Ministry of Housing requirements, and organizational policies.
- Facilitate tenant engagement and leadership, supporting participation in building governance, community standards, and shared decision‑making within a tenant‑directed management model.
- Mediate conflict and crisis situations, addressing tenancy‑related concerns with a trauma‑informed, culturally responsive, and human‑rights‑based approach.
- Develop and support community‑building initiatives that foster inclusion, connection, empowerment, and positive relationships among residents from diverse backgrounds.
- Act as a service broker and liaison, connecting tenants (with consent) to internal and external supports and strengthening collaboration with community partners and service providers.
- Maintain accurate case notes, documentation, and reporting, monitoring tenant needs and communicating emerging issues and trends to management.
- Coordinate with building services, contractors, and third parties to ensure safe, well‑maintained housing, including unit inspections, work orders, and follow‑up communication with tenants and staff.
- Educate tenants on preventative and basic maintenance expectations, supporting shared accountability for unit upkeep.
- Serve as an on‑site point of contact for contractors and partners accessing housing sites.
- Carry out administrative and financial record‑keeping related to housing operations, maintenance, tenants, and community development.
- Prepare reports, updates, and documentation for management, leadership, and funders as required.
- Uphold confidentiality and privacy standards related to tenant information and financial matters.
- Work collaboratively as part of a multidisciplinary team, contributing to a respectful, inclusive, and supportive workplace culture.
- Participate in supervision, staff meetings, committees, and ongoing training, supporting professional growth and organizational learning.
- Advance anti‑racism, equity, and community development principles in daily practice, ensuring services are responsive to diverse communities.
- Perform other related duties in support of program and organizational objectives.
- Bachelor’s Degree in Social Services, or a related field.
- 2+ years of experience in social services with supporting individuals who have history of street involvement and/or individuals with low income.
- Understanding of the Residential Tenancies Act, the Housing Services Act, Ontario Human Rights Code, and Accessibility for Ontarians with Disabilities Act.
- Property management experience including lease administration, rent collection, and unit turnover management.
- Experience with group facilitation and an understanding of group dynamics.
- Knowledge and experience working with women who have experienced violence, addictions, abuse and/or homelessness.
- Knowledge of issues faced by newcomers to Canada.
- Knowledge of client centered, feminist, and anti-oppressive frame works.
- Experience in conflict resolution, crisis response, intervention, de-escalation, advocacy, and negotiation skills.
- Knowledge of community resources to support low-income individuals, individuals with a history of mental health or addictions, and individuals with a history of trauma.
- Demonstrate cultural competency with ability to communicate clearly with individuals from diverse ethno-cultural backgrounds and levels of abilities.
- Ability to work collaboratively and individually, to multi-task, organize, and prioritize efficiently.
- Strong interview, assessment, analytical and problem-solving skills.
- Excellent verbal and written communication skills.
