Program Overview – Volunteer Services, Community Programs
Volunteer Services is a central resource to the organization, responsible for recruiting, retaining, and recognizing over 1000 volunteers who dedicate over 20,000 hours each year. The Volunteer Services Assistant will support the clerical and administrative duties of the Volunteer & Student Services Department work. Reporting to the Manager of Volunteer & Student Services, the incumbent will work under the day-to-day direction of the Volunteer Services Coordinators.

What You Will Do

  • Assist with data gathering for communication and marketing materials.
  • Work closely with the volunteer coordinators to ensure that programs complete the necessary documentation of volunteer registration and onboarding, and follow the procedures outlined by the unit.
  • Respond to inquiries about Volunteer & Student Services and do the first level of application screening.
  • Monitor and follow up on the request forms and share new positions received with the coordinators.
  • Monitor the Volunteer inbox, sort out the applications/requests received and forward to designated coordinator responsible.
  • Update volunteers and student profiles on the department data management system.
  • Work with the volunteer services team to plan and implement multiple volunteer recognition events.
  • Assist in the administrative and logistical work of organizing volunteer and student group discussions, workshops, orientation, and training sessions.
  • Provide back-up support to main reception and cover daily breaks of the front desk clerk.
  • Any other related tasks as required.

What You Bring to the Team
  • Diploma or Degree in Social Services, Administration, or any other related field.   
  • Demonstrated administrative or customer relations skills.
  • Proven proficiency in computer skills including MS Office Suite, comfortable using online platforms and with conducting internet research Proven proficiency in computer skills with knowledge of MS Office and internet research.
  • Strong organizational/planning skills.
  • Strong time management skills and ability to communicate clearly with clients from diverse cultural backgrounds.

Must meet the participant requirements under the Canada Summer Jobs Agreement with Employment and Social Development Canada as outlined:
  • be between 15 and 30 years of age at the beginning of the employment period*;
  • be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment**; and,
  • have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.

*The youth must be 15 years of age at the beginning of the employment period. The youth may be more than 30 years of age at the end of the employment period as long as the youth was 30 at the beginning of the employment period.

**International students are not eligible participants. International students include anyone who is temporarily in Canada for studies and who is not a Canadian citizen, permanent resident, or person who has been granted refugee status in Canada. Youth awaiting a refugee status ruling, as well as those who hold a temporary visitor visa, youth visa or work visa are ineligible. As the objective of the CSJ program is to support youth entering the Canadian labour market, the temporary nature of an international student’s time in Canada does not allow for a long-term connection to the labour market.
